PTO Accrual Examples
Comparing 120 Annual PTO Hours on Bi-Weekly vs. Semi-Monthly Payroll
Two employees each receive 120 hours of annual PTO. Employee A is paid bi-weekly (26 paychecks/year), while Employee B is paid semi-monthly (24 paychecks/year).
- Employee A (Bi-weekly, 26 periods): 120 hours / 26 = 4.62 hours per paycheck
- Employee B (Semi-monthly, 24 periods): 120 hours / 24 = 5.00 hours per paycheck
- Monthly Equivalent for both: 120 hours / 12 months = 10.00 hours per month
Both employees earn 120 hours per year, but Employee B earns 5.00 hours on each of 24 paychecks while Employee A earns 4.62 hours on each of 26 paychecks.
Biweekly vs. Semi-Monthly Pay
The most frequent source of confusion in paycheck PTO calculations is the difference between bi-weekly and semi-monthly pay schedules. A bi-weekly schedule pays employees every two weeks (for example, every other Friday), resulting in 26 pay periods per year. A semi-monthly schedule pays employees twice per calendar month (for example, on the 1st and 15th), resulting in exactly 24 pay periods per year. These two schedules must never be treated as interchangeable.
If you select a Part-Time schedule in this calculator, please note that the formula strictly divides the Annual PTO Hours you enter by your annual pay periods. Because employers use different methods for part-time leave—some grant a fixed annual allowance while others accrue PTO per hour worked—this calculator never makes unauthorized assumptions to shrink your entered annual allowance.

Assumptions & Limitations
- Semi-monthly (24 periods) and Bi-weekly (26 periods) use distinct denominators and cannot be mixed.
- When Part-Time is selected, calculations use the exact Annual PTO Hours provided by the user without assuming automatic work-hour proration.
- Some employers round paycheck accruals to two or four decimal places on each pay stub and adjust the final paycheck of the year to match the exact annual total.
