PTO Accrual Calculator

Use the PTO Accrual Calculator to estimate how many paid time off hours you earn per pay period and over a specific calendar date range. Choose from weekly (52), bi-weekly (26), semi-monthly (24), monthly (12), or annual (1) accrual frequencies and optionally apply an employer accrual cap.

Unlike simple calculators that divide calendar days by 365 for every schedule, this tool distinguishes between Fixed Pay-Period Accrual and Daily Calendar Proration so your results match real payroll rules.

PTO Accrual Methods

  1. Fixed Pay-Period Accrual: Employees earn a uniform block of PTO hours at the end of each completed payroll period (52 weekly, 26 bi-weekly, 24 semi-monthly, or 12 monthly periods).
  2. Daily Proration (Actual Calendar Days): Leave accrues proportionally based on exact calendar days elapsed divided by 365 (only used when you explicitly select Daily Proration).
  3. Hours-Worked Accrual: Common for hourly and variable-hour workers (e.g., earning 1 hour of PTO for every 30 hours worked). In V1, if you know your annual equivalent allowance, you can model it by pay period or review our part-time guide.

How the PTO Accrual Formula Works

PTO Per Period = Annual PTO Allowance / Annual Accrual Periods
Annual PTO Allowance (hours)
Your total yearly paid time off entitlement in hours (e.g., 80 hours for two weeks on an 8-hour workday).
Annual Accrual Periods
Weekly = 52, Bi-weekly = 26, Semi-monthly = 24, Monthly = 12, Annually = 1.
Accrual Start & Calculation End Date
The date range used to count completed accrual cycles or calendar days.
Optional Accrual Cap (hours)
Maximum cumulative PTO hours allowed before new accruals pause.

PTO Accrual Examples

Bi-Weekly Accrual Over 10 Pay Periods With an Accrual Cap

An employee receives an annual allowance of 130 PTO hours on a bi-weekly payroll schedule (26 pay periods per year) from January 1, 2026 to May 21, 2026 (140 elapsed days = 10 completed bi-weekly periods) on an 8-hour workday.

  • Annual Accrual Periods (Bi-weekly) = 26 periods/year
  • PTO Per Period = 130 hours / 26 periods = 5.00 hours per period
  • Completed Periods in Date Range = 140 days / 14 days = 10 periods
  • Total Accrued PTO = 10 periods × 5.00 hours = 50.00 hours (6.25 workdays)

The employee accrues 5 hours per paycheck and 50 hours total over the 10 completed pay periods. If a 35-hour accrual cap were active, accrual would stop at 35 hours.

Factors That Affect PTO Accrual

Several workplace policy rules can change how quickly your PTO balance grows. First, payroll frequency matters: bi-weekly payroll has 26 pay periods per year (every two weeks), whereas semi-monthly payroll has 24 pay periods per year (twice a month, such as the 15th and last day of the month). Mixing up 26 and 24 periods changes your per-paycheck accrual rate.

Second, many employers enforce an accrual cap (or maximum balance ceiling). Once your accrued hours reach that cap, you stop earning additional PTO until you use some of your existing hours and bring your balance below the ceiling. Third, unpaid leave of absence or probationary waiting periods may pause accrual depending on company policy.

Assumptions & Limitations

  • Fixed pay-period counts use standard cycle lengths unless you switch the partial-period rule to pro-rata or daily proration.
  • Accrual caps modelled here apply to the hours earned within the selected window; combine with your starting balance in the PTO Balance Calculator if you carry prior hours.
  • Hours-worked accrual for fluctuating shift schedules varies by employer handbook and state sick-leave rules.

Frequently Asked Questions

How many PTO hours do you earn per pay period?

Divide your annual PTO allowance in hours by the number of pay periods in a year. For example, 80 annual PTO hours divided by 26 bi-weekly pay periods equals approximately 3.08 hours per pay period.

Is PTO accrued weekly or biweekly?

Most employers align PTO accrual with their payroll cycle. Bi-weekly accrual (26 times per year) is the most common in the United States, though weekly (52), semi-monthly (24), and monthly (12) schedules are also widely used.

How do I calculate annual PTO accrual?

Multiply the PTO hours you earn per pay period by the total number of pay periods in your payroll year (52 for weekly, 26 for bi-weekly, 24 for semi-monthly, or 12 for monthly).

Does PTO accrue during unpaid leave?

In most organizations, PTO only accrues while an employee is in active pay status or working paid hours, meaning accrual typically pauses during unpaid leaves of absence unless state law or company policy specifies otherwise.

What happens when an accrual cap is reached?

When your PTO balance reaches an employer-defined accrual cap, you stop earning new PTO hours. Accrual resumes only after you take time off and reduce your balance below the cap.
